Who we are
Keylective is operated by Keylective LLC, a Florida limited liability company, 7901 4th St N #36631, St. Petersburg, FL 33702. For privacy questions or requests, email support@keylective.com.
Information you enter
The professional network processes account details, professional profiles and company links, private client briefs, goals, follow-up tasks, saved partners, selected introductions, authorized listing photos and flyer drafts. The network does not provide fields or document uploads for Social Security numbers, birth dates, credit reports, tax returns or bank account numbers. Do not enter these in free-text fields.
The separate private loan-officer notes workspace also processes information entered by an authorized professional, including housing, employment, income, assets, debts, property, residency and household details. Optional entries may include benefit-income and child-support details. Older records may retain previously supplied identity information. New structured SSN and birth-date entries are no longer accepted.
Optional first-contact home plans include preferred areas, property type, timing, a stated price range, property features, an existing-agent relationship, client-reported lender progress and permission to follow up. These answers remain in the professional’s private workspace unless a separately supported field is selected in an introduction.
Contact import is user-initiated. A supported phone picker shares only the contacts and available fields you choose. Contact files are parsed in browser memory; the source file itself is not uploaded. After review and confirmation, saved details can include names, multiple labeled emails and phone numbers, company, title, postal addresses, websites and a supported embedded contact photo. Available fields depend on the device and import format. Contact notes, birthdays and unsupported private fields are excluded from import. No invitations or messages are sent by importing contacts.
Private planning tools can hold property links, a wishlist, showing feedback, manual checklists, due dates and next actions. These records remain in your workspace and are excluded from introductions. A checklist owner label is a planning aid; it does not grant that person access or send a message. Do not add financial documents or sensitive identifiers to notes or links.
Attorney workspaces can store private conflict-review and engagement checkpoints, consultation dates, manually entered deadlines and matter checklists. Credit specialist workspaces can store private service checkpoints, action plans, check-in dates and report-error follow-up labels, organizations, dates and status. These are coordination records, not legal documents, credit reports or submitted disputes. Title agent workspaces can store a private title-order status, a closing date, closing checkpoints and checklists. Wiring instructions, closing figures and title documents stay in the title agent’s own systems. Professional checklists and their notes are excluded from introductions, the directory and contact exports; a partner cannot see them just because an introduction was accepted.
How information is used
Information supports account access, private workspaces, permissioned introductions, follow-up coordination, company-link messages, flyer creation, subscriptions and security. The service also processes account and billing status, sign-in and security activity, and operational records. Payments for paid plans are processed by Stripe, which collects your card or other payment details under its own privacy policy. Keylective never receives your full card number.
Professional profiles and introductions
Your professional profile is private until you choose to publish it to signed-in members. A listed profile contains the professional details and company links shown in your profile form. Your client list and private notes do not appear in the directory. Professional credentials are self-reported, not verified by Keylective.
Connection invites are separate from client introductions. You can review and email an invite or copy a one-use link that expires after 30 days. The email shows your name, profession, company, first service area and reviewed note. The link page also shows your profile’s service areas, languages, specialties and introduction. Anyone with that link can view these details while it is valid, even if your profile is not listed. No client records are attached; keep client and sensitive information out of your note. Resend processes the recipient address and emailed message. Keylective keeps an address hash, encrypted note, link hashes, status and timestamps. Copying a link sends no email. An email recipient can stop future invites from anyone through the stop link without an account. Link expiry does not itself erase delivery or stop-list records; see Retention and deletion.
An introduction contains only the client brief fields you select, your professional profile, its purpose and your attestation of client permission. Access is restricted to the sender and intended signed-in account. A directory selection is tied to that member’s account; an email-only introduction is matched to the sign-in email you specify. Confirm the intended account before sharing a link.
If that address has no account yet, the sender can choose to email one invite for the introduction. It contains only the sender’s name, role and company, one sentence and a sign-up link, never client names or details. The invite record keeps a hash of the address, not the address itself, to limit invites and honor a request to stop them. Anyone can stop invites to their address with the link in the email.
An unaccepted invitation expires after the sender’s selected 7, 14 or 30 days. For new introductions whose permission review explicitly includes 180-day collaboration, acceptance opens that 180-day window. Existing introductions keep their original expiration unless renewed while still active with continued client permission. Either participant can renew an active accepted collaboration for 180 days after confirming continued client permission and when it was obtained. An expired or withdrawn introduction cannot be restored by renewal. Shared access can be withdrawn. Recipients retain the accepted details in their own client record; they can attach the introduction to an existing record instead of creating a duplicate. Withdrawal and expiry cannot recall information already seen or remove an accepted copy. General progress updates are visible to the two participants. A shared timeline distinguishes recorded contact attempts, confirmed contact and a professional’s confirmation that an application link was sent. A participant can also share an agreed next action, its owner and due date. The loan officer or credit specialist who received the introduction can share a short readiness plan and review date after acknowledging that it will be visible to the referring professional. On a client’s contract-to-close lanes, each professional can share which steps in their own lane are done, and the Realtor, attorney or title agent can share the contract dates. These go only to the professionals on that person’s own accepted introductions for the client, never to partners they have no introduction with, and not to a credit specialist’s introduction. When the credit work is done, the credit specialist can hand the client back to the professional who asked, with a short note.
The Key Circle shows responsibility within each accepted introduction. Its two participants can propose, accept, decline or cancel a handoff of a short next action and due date. A proposed handoff keeps the current holder responsible until the other participant accepts. These shared actions and timestamps appear in that introduction’s timeline and follow its access, expiry and withdrawal rules. Separate introductions do not give all partners access to one another’s identities or private client records.
After an introduction is accepted, its Realtor sender may create a review request for the assigned loan officer, with a separately recorded client-permission statement. The request can contain a short description, property address or link, and requested date. The two participants can see the request and its recorded progress while the introduction remains active. Review progress does not issue or confirm a lender approval. Private checklists and showing notes are excluded. Response reports summarize actual introduction and acknowledgment timestamps, including sample counts and unavailable historical data; they do not infer email delivery or client contact.
Client progress pages
A professional can also turn on a private client page that shows the client their team, an update the professional writes, and listing links the client saves from Zillow, Redfin, Realtor.com, Homes.com, Trulia or Compass. Anyone with that link can view the page until the professional turns it off or it expires after 180 days. It shows no private notes, loan, credit or financial details, and Keylective does not contact listing sites. Saved links are encrypted and deleted with the professional’s account. If the professional chooses, the page also shows the contract dates saved on their own client brief and a countdown to closing. It never shows dates or steps that partners share on introductions. The professional can also require a 6-digit sign-in code before the page opens. The client enters the email address saved on their client brief and, if it matches, Keylective emails a code through its email provider. The email contains only the code and the professional’s name. A code works once, for 10 minutes, and requests and guesses are limited. A sign-in lasts one hour in a cookie used only for client pages. Only keyed hashes of codes and sign-ins are stored, and they are removed when the link changes, the page is turned off or the professional’s account is deleted. This option stays off until Keylective turns on email delivery for it. The professional can also ask the client, on the page, to approve a prepared introduction. The client sees the partner’s name, role and company, the purpose, an optional note and the kinds of details that would be shared, not the details themselves, and taps OK or Not now. Keylective saves the answer and its time. If the professional then sends that introduction, the OK and its time are kept with the introduction as part of its permission record, which both professionals can see. An OK never sends the introduction: the professional still confirms permission and sends it. A loan officer can also turn on offer-ready letters for an introduction, with the borrower’s permission: a highest price, an expiry date and the lender’s own approved wording. The loan officer, or the Realtor within those limits, can then make a letter for a specific home and price. Each letter is logged for both professionals and carries a check code. Anyone with the code can see, on a public check page, the letter type, the buyer’s first name and last initial, the home, the price, the loan officer and the dates. Keylective never edits a lender’s finished letter. Keep these shared summaries free of financial details, sensitive identifiers and documents. A lender-issued preapproval status is available only when the sender separately records the client’s permission and the loan officer explicitly confirms the actual status. No approval amount, conditions, denial reasons or financial documents are included. The app does not generate, verify or guarantee an approval.
Buyer, seller and renter accounts
Buyers, sellers and renters can create a free Keylective account with an email address and password. Supabase handles sign-in, as it does for professionals.
Besides your email address and your sign-in and security records (kept for 90 days), a buyer, seller or renter account keeps only the client progress pages you choose to save, so you can find them again. Each saved page is stored as an encrypted copy of its link. Your account shows only what the professional already shows on that page: their contact details, the latest update, the dates they chose to share, requests for your OK, and the homes and notes you added there.
A saved page stays under the control of the professional who shared it. If they turn the link off or replace it, or it expires, the page disappears the next time you open My Keylective, and its saved copy is deleted then. You can remove a saved page at any time. An account keeps up to 20 saved pages.
These accounts never appear in Discover, the professional directory or Find your home team, and professionals cannot see which pages you saved. They never ask for loan or rental applications, financial documents, Social Security numbers or other identity numbers. The payment estimate, checklists and questions in your account run in your browser and are not saved.
Deleting your account deletes your saved pages with it. Messages you sent to professionals through Find your home team stay with the professionals who received them, as described below.
Find your home team and card share-back
Find your home team shows professionals who chose to be listed for a goal and an area. A listing shows a professional’s name, company, role, service areas, languages, specialties and a short introduction, never their email, phone or clients. Professionals are not ranked, and nobody pays to be listed or shown.
If you contact a professional, what you enter goes only to that professional: your name, email or phone, goal, area, timing and a short note. You choose to send it, and that professional may contact you about your request. It is stored encrypted in their Keylective inbox, together with the time you agreed to be contacted. An inquiry they don’t save is deleted after 90 days; one they save becomes part of their own records.
Card share-back works the same way. From a professional’s shared digital card, you can send them your name, email or phone, and an optional company, title and note. Only that professional receives it.
These forms are rate-limited to prevent abuse. For those limits, Keylective uses a one-way code made from your internet (IP) address and does not store the address itself. The forms refuse identity numbers and account numbers.
Messages and external links
Introduction and company-link buttons prepare content for you to review and send. Copying a link or opening a draft does not send it. A copied introduction message contains a generic invitation and an authenticated app link, without client details. Keylective automatically records in-app alerts for the intended participants when introductions, reported progress, shared next actions or review requests change. An email-only recipient receives access and alerts only after their specified email matches a verified signed-in account; this feature does not email an invitation to an arbitrary address.
Application, booking and business links open a professional’s external provider. Keylective does not append client information to those URLs. The provider’s own privacy and security terms apply. In the loan-officer workspace, choosing Find address sends the entered address to Esri’s ArcGIS service for suggestions. Typing or focusing an address field alone does not make that request. The service also receives ordinary connection information such as your IP address. Optional property-search and map links send the selected property address to the service you open.
When email delivery is available, optional notification emails direct the verified member to their authenticated workspace. They do not contain client names, property details or financial information. Your preferences control email alerts and an optional weekly activity summary. Due-date and unanswered-introduction reminders depend on the reminder service being active. These are workflow messages, not marketing permission or client outreach. Delivery callbacks record provider-reported delivery, bounce or complaint results; email delivery or opening never marks a client contacted, an application submitted or a loan approved. When phone alerts are available and you turn them on, Keylective saves that browser’s push address and keys, encrypted, and sends short alerts through the browser’s own push service (such as Apple, Google, Mozilla or Microsoft). Each alert is encrypted so the push service cannot read it, and it says only what kind of update happened, with no client names, property details or financial information. Turning phone alerts off removes every saved phone; a phone is also forgotten when its browser reports that its alerts are gone. Keylective does not send SMS.
Storage, authentication and providers
Private workspace records and shared briefs are encrypted in application storage. This is storage encryption, not end-to-end encryption; the service decrypts records for authorized access. Opted-in directory fields are separately stored for display to signed-in members. Listing photos use account-scoped object storage. Service providers process information only to run Keylective: Cloudflare for hosting, the database and file storage, Supabase for sign-in, Resend for email, Stripe for payments, OpenAI for the AI features you choose to use, Esri for address suggestions in the loan-officer workspace, and your browser’s push service for phone alerts you turn on.
Supabase handles account authentication, and Resend delivers account-confirmation and recovery emails. Essential cookies keep you signed in and protect account access. The browser may retain display and language preferences until you clear them. Earlier browser-only workspaces use a separate secure cookie; losing that cookie can make those earlier records inaccessible. The current application source does not include advertising trackers. Provider logs and infrastructure behavior are separate from the application’s own features.
Plans and billing
When you choose a paid plan, you go to Stripe’s secure checkout page. Keylective keeps what it needs to run your plan: a Stripe customer and subscription reference, which plan you are on, its status (such as active, past due or cancelled) and when the current period ends. Stripe tells Keylective when a payment succeeds or fails, and when a plan starts, changes or ends. When your Stripe customer record is created, Keylective gives Stripe your email address and account id.
While paid plans are on sale, Keylective counts how many times each month you use the AI tools (notes, card reading, research and web search) on every plan, and, on the free plan, open houses and how many client progress pages are on at a time. A count records only the tool, the month and the number of uses, never what you entered. Counts are deleted with your account.
Premier includes a records export: a spreadsheet of your own clients, partners and contacts that you download. Once it is downloaded, the file is outside Keylective and you are responsible for protecting it. Each export is recorded in your account’s security log.
Premier also includes automatic updates. If you create an automation link, Keylective stores only a one-way code of its address and shows the address once. Events that your own CRM, Zapier, Make or Encompass send to it (a client’s email or phone, what happened, and a short note) are matched to your own client and recorded in that client’s brief as an update labelled with its source, under the same encryption as the rest of your records. The link accepts no applications, documents or identity numbers, is rate-limited using a one-way code of the sender’s internet address, and is removed when you revoke it or delete your account.
Retention and deletion
Shared introduction content, its shared timeline and any shared next action or readiness plan become inaccessible at expiry or withdrawal and are cleared through the referral cleanup process. Introduction account identifiers, email hashes, timestamps and status records can remain after the content is cleared. Security audit entries use an activity-driven 90-day cleanup window; that is not a retention limit for all operational or provider records. Completed notification records and inbox history use a 90-day cleanup window, and delivery-callback receipts use a 30-day window. Pending delivery work can remain until it is resolved. A hashed suppression record can be retained to avoid further email after a bounce or complaint. These windows do not describe the email provider’s own logs or backups.
Workspace records remain until removed or the account is deleted. Deleting a client does not automatically withdraw introductions or delete a separate mortgage record. Remove those records separately when appropriate. Removing a flyer draft does not currently remove its uploaded photo; account deletion removes account-scoped listing photos. Removing a record in your workspace does not remove another professional’s independent copy.
Account deletion closes Keylective access and starts removal of application records and account-scoped files. Cleanup failures remain pending and can be inspected and retried; closure alone does not mean every record has been removed. Related notification history, preferences, saved phone-alert addresses and account-notification identity records are included in cleanup; hashed email suppression records can remain. Removal of the authentication-provider account may require a separate completion step; the confirmation screen reports when that step is pending. Account-deletion markers, security and operational records, billing records, provider logs and backups may remain under separate retention requirements. There is no promise of immediate erasure from every provider backup. Stripe keeps its own payment records under its own retention rules; deleting your Keylective account does not delete them.
Digital cards and AI connections
Digital cards are private drafts until you enable sharing. Anyone with a shared card link or QR code can view that card’s published fields. Disabling sharing stops access through that link, but does not remove copies recipients already saved. Contacts and meeting notes are private to your workspace. Linking a note to a contact does not share it. Exported files leave the app when you choose to save or share them. If you explicitly pair an AI assistant through MCP, that service can retrieve your contacts and notes with read-only access. Revoke this access in Contacts menu → AI tools; revocation does not erase records already delivered to that service.
Phone contacts and CRM destinations
When you choose a person through the phone contact picker, Keylective reads the selected contact details for your review. On Android, the system picker shares the selected person’s display name and one phone number without giving Keylective access to the rest of your address book. For an email-only contact or additional details, import a shared contact card (.vcf) or enter the details yourself. Other supported devices and contact-file imports may provide names, multiple labeled phone numbers and email addresses, company, title, postal addresses, websites and a profile photo; available fields depend on the device and file. Details are saved to your account only after you review and choose to save.
Optional CRM connections store access tokens or webhook URLs encrypted. Sending a contact transmits only the fields shown in the review to your chosen HubSpot account or Zapier/Make automation. Meeting summaries and follow-ups are included only when selected in an automation delivery; full transcripts and private contact notes are excluded. Delivery history is kept in your account. Disconnecting stops new deliveries, and account deletion removes the stored connections and delivery history. Disconnecting or deleting here does not delete copies already sent to a CRM or automation provider.
Stored records
The retired borrower-completion and mortgage call-intake tools remain unavailable. Connections offers optional business-card extraction and meeting-note transcription and summarization. When you choose these actions, your submitted image, audio or text is sent to OpenAI for processing. Optional professional contact research sends the name and company you enter to OpenAI and its web-search service to find public sources; suggested fields and source links are saved only when you review and save them. Do not submit payment cards, identity documents or sensitive borrower information. Recording requires permission from everyone involved. Keylective does not retain source scan images or audio in your account; contact fields you save and saved note transcripts, summaries and follow-ups are stored with your account. AI results require your review. Stored records are retained until removed through the applicable controls. Review and remove unneeded records under your firm’s requirements. Retired shared-link records may remain until their applicable cleanup process runs.
When web search is enabled, Discover can also search the public web after you submit its filters; you can also choose Search the web. These searches send the profession, state, area and language used for the search to OpenAI and its web-search service. If no state is selected, the search uses your profile’s first service area when available. No client records are attached. Use professional search details, not client information. Results come from public professional sources and require your review. Keylective does not save returned search results to your workspace. Account usage and abuse-prevention counters and provider records can persist separately; OpenAI may retain request and response content for abuse monitoring under its API data controls.
Account deletion and other requests
Delete your Keylective account and data
To request deletion of your Keylective account and associated data without the app, email support@keylective.com from the email address used for your account and ask us to delete your account. You do not need to install or open the app. If you no longer have access to that email address, contact the same support address for help verifying your identity. Keylective LLC verifies requests before acting on them.
You can also sign in through your browser and request deletion from Account & security. Account deletion closes access and starts removal of saved workspace records and account-scoped files. Cleanup or authentication-provider removal may remain pending until completed. Limited security, operational, billing and provider records, backups and other professionals’ independent copies may remain as explained under Retention and deletion.
You can edit your professional profile, leave the directory, delete clients and flyer drafts, withdraw introductions, remove older applications and manage subscriptions from your account. Buyers, sellers and renters can remove saved pages from My Keylective. For access, correction or deletion of a client brief, contact the professional who maintains it. For other privacy requests, email support@keylective.com.
Keylective does not sell personal information and does not use it for targeted advertising.
Professional responsibility
Users are responsible for lawful collection, notices, permissions, disclosure limits, firm approval and recordkeeping. Client contact information can be protected even without an SSN. The introduction permission checkbox records a professional’s attestation; it does not replace a legally required consent form.
